Here teacher can create Notes for a particular date

Screen Fields Overview

Field Name Field Type Mandatory Data Nature Remarks
Staff Name Suggestion List Yes Alpha Numeric characters Select the Staff Name available in the List
Staff ID Suggestion List Yes Alpha Numeric characters Select the Teacher ID available on the list. If you click the Staff name it automatically provides the staff ID
Notes ID Text Yes Alpha Numeric characters By default, the system will provide an auto-generated Notes ID that can be used. If institute wants to assign their own Notes ID, System defaulted ID can be replaced with own Notes ID
Date Text Yes Date Picker Date of the Staff Notes should be mentioned here
Class Suggestion List Yes Alpha Numeric characters Select the class available in the List
Period Number Text Yes Number No need to enter, It will be defaulted by the system from the class configuration
Subject Drop Down No Select No need to enter, it will be defaulted by the system from the Timetable
Start Time Text No Time No need to enter, it will be defaulted by the system from the class configuration
End Time (Hour &min) Drop Down No Time No need to enter, it will be defaulted by the system from the class configuration
Unit/Lesson Text Yes Alphanumeric character Enter Unit/Lesson
Heading Text No Alphanumeric character Enter the Heading of the lesson
Sub Heading Text No Alphanumeric character Enter the Sub Headings in the field
Upload Choose File Yes Only pdf files are supported Choose the Study Material file to be uploaded
Notes Text No Only pdf files are supported Choose the Study Material file to be uploaded

Q:How to Create the Staff Notes?

Staff Notes can be Created by following the below steps:
  • Choose Menu (Staff Details=>Notes) from the Menu tree.
  • Click “Create” in the menu in step 1.
  • Fill the necessary fields. (refer the screen fields overview table above)
  • System will Automatically bring up the schedule for the class that the given teacher will take
  • Click Notes to move on next steps.
  • In order to add Notes,
    • press “+” button, New empty record will be created
    • Then enter Notes Details
  • Once reach last step, you may enter remarks about the Creation. This remark can be seen in the field ‘maker remarks’, under the audit tab of the full record view. If maker of the record wants to convey some message to checker or they want to keep some notes, they can type it here. Checker can see the same before authorization under the audit tab in the screens.
  • Click “Save” in the last step.

Admin and Teacher can create the Staff Notes.


Q:How to View the Staff Notes ?

Staff Notes can be Viewed by following the below steps:
  • Choose Menu (Staff Details=>Notes) from the Menu tree
  • Click “View” in the step1.
  • You will see the filter screen now, where in you can see below search filters which can be used to list out the records .
    • Staff Name
    • Staff ID
    • Class
    • Subject
    • From Date
    • To Date
    Please type value for any one of above filters and then press next
  • you can see all the resulted records which are satisfied by your above-chosen search filter .
  • If there is only one resulted record for the given filter, system will automatically take you next step, otherwise click on record which needs to be Viewed.
  • 7. Then System will bring full detailed view of the record; you can see General, Note Details, and audit tabs. You can click the tab to see corresponding details.

Q: How to Modify the Staff Notes?

Staff Notes can be modified by following the below steps:
  • Choose Menu (Staff Details=>Notes) from the Menu tree.
  • Click “Edit” in the step1.
  • You will see the filter screen now, where in you can see below search filters which can be used to list out the records .
    • Staff Name
    • Staff ID
    • Class
    • Subject
    • From Date
    • To Date
    • Please type value for any one of above filters and then press next
  • you can see all the resulted records which are satisfied by your above-chosen search filter.
  • If there is only one resulted record for the given filter, the system will automatically take you next step, otherwise click on record which needs to be modified.
  • Then System will bring full detailed view of the record; you can see General, Plan Details, Notification and audit tabs. you can click the tab to modify corresponding details.
  • You can change the details of the required fields.
  • In order to add more Notes ,
    • press “+” button, New empty record will be created
    • Then enter Notes Details
  • In order to remove Notes,
    • press “-” button, record will be removed
  • Click “Next” in the bottom on the screen.
  • Once reach last step, you may enter remarks about the Modification. This remark can be seen in the field ‘maker remarks’, under the audit tab of the full view of the record. If maker of the record wants to convey some message to checker or they want to keep some notes, they can type it here. Checker can see the same before authorization under the audit tab in the screens.
  • Click “Save”.

Modification scenarios

Modification can be done for the following scenarios:
  • If there is a change in already existing record of Staff Notes.

Q:How to Delete the Staff Notes?

Staff Notes can be Deleted by following the below steps:
  • Choose Menu (Staff Details=>Notes) from the Menu tree
  • Click “Delete” in the step1.
  • You will see the filter screen now, where in you can see below search filters which can be used to list out the records.
    • Staff Name
    • Staff ID
    • Class
    • Subject
    • From Date
    • To Date
    • Please type value for any one of above filters and then press next
  • you can see all the resulted records which are satisfied by your above-chosen search filter.
  • If there is only one resulted record for the given filter, the system will automatically take you next step, otherwise click on record which needs to be deleted.
  • System will bring the full detailed view of the record.
  • Click “Delete” in the bottom on the screen.
Tips:

The Person who Creates the Record can only delete that record.

Deletion scenarios

Deletion can be done for the following scenarios:
  • Teacher mistakenly created the Staff Notes, and it is not yet authorized by Admin, they can delete the record.
  • Teacher mistakenly modify the Staff Notes, and it is not yet authorized by Admin, they can delete the modification version.

Q:Why does the Institute need this Staff Notes?

  • Staff Notes is used to take notes about particular subject that the staff handle
